This Privacy Statement explains how RaccoonGPT (“we”, “us”, “our”) processes and protects personal information when individuals and organizations use our AI platform. The purpose of this statement is to provide clear, transparent information about how data is handled.

1. Our commitment to Canadian privacy

RaccoonGPT is designed, configured, and operated so that all customer data is processed and stored only in Canada. We comply with applicable Canadian privacy laws, including:

  • Personal Information Protection and Electronic Documents Act (PIPEDA)
  • Relevant provincial legislation such as RTIPPA, FOIPOP, FIPPA, MFIPPA
  • Canada Anti-Spam Legislation (CASL)
  • Applicable public-sector contractual obligations

We do not intentionally move, transfer, or process customer data outside Canada.

2. How RaccoonGPT is hosted

2.1 Shared environment (default)

By default, all customers use a shared RaccoonGPT environment hosted in Canadian cloud regions. Customer data is logically separated through:

  • dedicated encryption keys
  • strict access controls
  • application-level isolation

No customer can access another customer’s content.

2.2 Optional private deployments

Organizations may choose a more isolated configuration, including:

  • a private instance within our Canadian cloud
  • a deployment within the customer’s own cloud environment
  • additional professional services for configuration and management

These options provide enhanced isolation where required.

3. Information you choose to submit

RaccoonGPT processes the information you choose to enter into the service. This includes prompts, questions, chats, uploads, or other content you provide when interacting with the AI. The information is processed only to generate responses and is not used for training or improving any models.

Chat history is maintained to allow users to return to previous conversations. Conversations are stored in encrypted form and users may delete individual conversations at any time.

Optional web search

RaccoonGPT includes an optional web search feature that retrieves publicly available information from external search providers. When you enable web search, the search query is processed by third-party services that may operate outside Canada. To protect privacy, RaccoonGPT filters and reformulates the query before sending it to external providers. Web search can be disabled at any time, and when disabled, no search queries are sent to external providers.

Account and billing information

To create an account, we process:

  • your name
  • email address
  • organization name (for B2B accounts)
  • billing information
  • plan selection
  • seat assignments and administrative preferences

This information is used only for account creation, authentication, billing, and customer support.

Feedback

If you contact us or send feedback, we process the information you provide for the purpose of responding.

4. How we use information

We use the information you provide only to:

  • operate and deliver the RaccoonGPT service
  • authenticate accounts
  • provide customer and technical support
  • process payments
  • maintain performance, availability, and security
  • provide administrative tools to organization customers
  • comply with legal or regulatory requirements

We do not sell or trade customer information.

5. No training on customer data

RaccoonGPT does not use customer content for training, fine tuning, or improving AI models. We do not build datasets from customer content. Only non-identifying system telemetry such as error rates and performance events may be used to improve stability and reliability.

6. Organization accounts and administrative control

For organization accounts, administrators can manage seats, billing, and organizational settings. Administrators cannot view, access, or delete user conversations or prompts. User-generated content remains private to the individual user unless future features introduce organization-level data controls and the organization explicitly enables them.

7. Data retention and deletion

  • Content is retained as part of the chat history until the user deletes individual conversations
  • Logs and system diagnostics are retained for limited periods for security
  • Backups are stored in Canada under restricted retention timelines
  • You may request deletion of your content at any time

8. Security

RaccoonGPT uses security measures that include:

  • encryption at rest and in transit
  • role-based access control
  • unique encryption keys
  • audit logging
  • monitoring and restricted administrative access
  • regular assessments of security practices

Security documentation may be available to organization customers.

9. Canada-only processing

RaccoonGPT uses cloud infrastructure hosted in Canada. Our configuration ensures that all processing and storage occur within Canadian regions. We do not export or transfer customer data outside Canada unless specifically requested by the customer.
